How to create a user for a new Ruptela / Linqo employee

This knowledge article will walk you through the process of creating a user for a new Ruptela Employee.

Required information:

Administrative access to ERP

Contact the Head of Support for such access

Administrative access to Confluence/Jira

Contact the Head of Support for such access

New employee template

Provided by [email protected] in Zendesk ticket.

Workflow

  1. The new employee's manager will raise a Jira task for project SD via the Self-Service IT page and will list all the necessary access that this person will need.

  2. This Jira task will send an email to [email protected], resulting in a Zendesk Ticket, with copy to [email protected] resulting in a BlueBridge ticket. The email will have this form (Support relevant details are in bold):

    1. Hello team,

      A 'new user' task has been created with following details:

      Work start date: 2023-11-20
      Requestor: [email protected]
      Manager: Tomas Slavinskas
      New Employee name: Karolis Židelis
      Necessary email address:[email protected]
      Employees position: Technical writer
      Mobile phone number: 37064504182
      Ruptela Unit: SP/HW Product Management
      Access to systems: OpenVPN
      Access to other systems: confluence
      sharepoint
      Ruplitai system
      SageHR
      Computer: Windows Basic, Monitor, Mouse/Keyboard, Backpack, Headset
      Computer (non-standard):
      Necessary email groups: [email protected]
      [email protected]
      [email protected]
      [email protected]
      ERP access rights: Darbuotojas
      Workspace: Vilnius office, 6th floor
      Connect to printers:Administration, 9th floor
      Description:

    2. Important Note: If some of the relevant information is missing in the template, please contact Eglė Bagdzevičiūtė (or the Head of Human Resources of the Ruptela Branch in question).

  3. The person in Support who gets the Zendesk ticket will perform two actions:

    1. Create a user account in ERP

    2. Create (invite) this user in Confluence/Jira application

  4. Once this action has been done, the Zendesk ticket can be closed.

FYI. BlueBridge will execute their part and also close their ticket on their system but we will not receive any feedback on that.

These are all the actions to be taken, they are split into two groups, the one executed by us (Ruptela) and the those which are executed by BlueBridge.

Executed by us (Ruptela)

  • Create user in ERP

  • Create (invite) this user in Confluence/Jira application

Executed by BlueBridge

It will depend on what the Manager selected for this user to have access but they are responsible for:

  • Creating AD Account

  • Assigning O365 Licenses

  • Add user all the necessary mailing groups

  • Creating FortiClient (VPN) account

  • Creating LDAP account

As the company has split, there are two different processes (different databases) for creating a new ERP user account for Ruptela and for Linqo employees. Please find them below:

How to create a user on the ERP (for Ruptela employees):

  1. Open the OpenERP client desktop application

  2. Press CTRL + O or Click on File -> Connect

  3. Click on Change button

  4. Fill in the information accordingly:
    Server: erp.ruptela.lt
    Port: 2070
    Protocol: NET-RPC

  5. Click on OK button

  6. Select the Database as ruptela, type your username and password and click on OK button

  7. Click on the Menu tab

  8. Click in Settings, then double-click on Users

  9. From the user creation form copy the "ERP access rights:" value and paste it in "User Name" field in ERP and click find

  10. Select the account template and press Form/Forma from the top menu:

  11. From the Form menu click on "Sukurti kopija"/"Duplicate"
    Double-click on the newly created copy of the template and fill in new user details:
    User Name: Name Surname
    Login: name.surname
    Language: English (unless otherwise specified).
    Email: [email protected]

    NOTE: If you need several e-mails to be written under a single user, they should be separated by a comma without any spaces. Example: [email protected],[email protected]

  12. Click on Save.

13. State in the right lower window corner should be: Document Saved.

14. Process is complete in the ERP, now close the OpenERP application and we will proceed with the Confluence/Jira configuration.

How to create a user on the ERP (for Linqo employees):

  1. Open the OpenERP client desktop application

  3. Click on Change (LT "Pakeisti") button

  4. Fill in the information accordingly:
    Server: erp.ruptela.lt
    Port: 6070
    Protocol: NET-RPC

  5. Click on OK button

  6. Select the Database as ruptela_eu, type your username and password, and click on OK (LT "Gerai") button

  7. Click on the Menu tab -> click on Settings -> double click on Users

  8. From the user creation form copy the "ERP access rights:" value and paste it in "User Name" field in ERP and click find

    Double-click on the newly created copy of the template and fill in new user details:
    User Name: Name Surname
    Login: name.surname
    Language: English (unless otherwise specified).
    Email: [email protected]

  12. Click on Save (LT "Išsaugoti").

14. Process is complete in the ERP, now close the OpenERP application and we will proceed with the Confluence/Jira configuration.

How to create (invite) a user in Confluence/Jira application

  1. Go to this page: https://ruptela.atlassian.net/
    NOTE: sometimes it may be needed to open it in the Incognito mode tab.

  2. Click on the icon in the top left part of the screen

  3. Click in Administration

  5. Click in Invite users

  6. Do the following

    1. Type the email address provided in the ticket,

    2. Assign Role Basic (default)

    3. Tick product access: Jira Software and Confluence

    4. Add all the necessary groups (see below all groups available),

    5. Click on Invite 1 user

  7. Confirmation "You've invited 1 user" will appear in the bottom left corner as a pop-up
